To hire the minibus, groups and organisations need to be affiliated to the Wolds Community Transport Project.
To become affiliated, an annual £10 fee is payable, which enables the minibus to be hired at a rate of £1.10p per mile, with a minimum charge of £20 being applicable. The cost of hiring the minibus covers fuel, fully comprehensive insurance and breakdown cover.
It is the responsibility of the affiliated group or organisation hiring the minibus, to settle any parking fees or Humber Bridge toll charges, in a timely manner so as not to incur any penalty.
Each affiliated group provides its own driver, who must be over 25 years of age and under 70, while holding a valid UK driving licence, covering a D1 classified vehicle. In advance of hiring the minibus for the first time, the proposed driver must submit evidence of their driving licence and undertake a minibus familiarisation process.
The minibus bookings are managed by the Project Coordinator, who will take all relevant details of each hire request and confirm whether the minibus is available on the required date and time. The minibus is hosted in the village of Binbrook, and the keys will need to be collected from the Coordinator, in person.
An expression of interest in hiring the minibus can be submitted by contacting the Project Coordinator, providing the following information:
- proposed date of hire;
- proposed duration of the hire period;
- proposed time to collect minibus keys;
- affiliated group or organisation;
- driver name;
- purpose of hiring the minibus;
- intended destination; and
- agreement of the Projects Terms & Condition of hire [provide link].
Once the driver has been verified, the minibus keys, mileage form and the terms & conditions of hire are handed over and the minibus is available to drive away.
On return, the driver must complete the mileage form and hand this and the minibus keys to the Coordinator. The driver must also report any damage incurred to the vehicle while on hire, or whether it was involved in an accident, incurred a parking fine or was involved in any incident that required attention from the police.
The minibus should also be returned in a clean and presentable state, ready for the next group to hire it. It is expected that the minibus will be returned in a condition that anyone would expect and want to use it.
If an affiliated group or organisation needs to cancel a hire period, this must be done immediately by informing the Coordinator, to allow the minibus to be available for others.

Prospective drivers are politely reminded that the role of Project Coordinator is filled by a volunteer, and respect of this individual’s privacy is expected at all times. Therefore, when arranging to collect or return the minibus keys, it should not be expected that this is undertaken during anti-social hours.
In addition, the Project Coordinator should be treated with respect at all times and the Wolds Community Transport Project will not tolerate any profanity, verbal threats or violence towards this volunteer.
